Girls Rock Aotearoa collects personal information for the purposes of promoting and delivering services and community orientated events. Girls Rock Aotearoa collects information from you when you register on our site, make an enquiry, become a member of our society, subscribe to our newsletter, respond to a survey or fill out a form. In any of these instances you may be asked to provide information including but not limited to your name, e-mail address, mailing address, phone number.
Using Personal Information
Girls Rock Aotearoa will never sell your personal information. Employees of Girls Rock Aotearoa may have access to your personal information to do their work. Their access to your personal information is limited to what is necessary.
Agents and subcontractors of Girls Rock Aotearoa may have access to personal information needed to do their work but may not use it for any other purposes.

Storing and Disclosing Personal Information
Besides our staff, we share mentor application information with:

NZ Music Commission in order to adhere to the Vulnerable Children act 2014, police vetting requirements.
Providing some information is optional. If you choose not to enter police vetting documents, we will not be able to hire you as a mentor working with youth.
Girls Rock Aotearoa will maintain all reasonable protections against the loss, misuse or inappropriate disclosure of your personal information, and maintain processes to prevent unauthorised use or access to that information.
Girls Rock Aotearoa will keep all physical documents secure, both inside and outside its premises.
Girls Rock Aotearoa will keep electronic personal information secure by making sure its data storage is protected from external sources, maintaining regular back up and applying good security practices.
Girls Rock Aotearoa may use cloud computing. Where used, Girls Rock Aotearoa will ensure that cloud computing solutions meet good practice security requirements.
We may disclose your personal information to:
• Any business that supports our services and products, including any person that hosts or maintains any underlying IT system or data centre that we use to provide the website or other services and products

Data Storage Location and Access
Collection of data on youth participants is stored on our Girls Rock Aotearoa private Google Drive account.
The owner of the contact information in any of these groups has the right to contact us and ask for their details to either be corrected or removed from the system. However, it MUST be the person the information relates to or their Parent Guardian. No one can call on behalf of someone else unless they have the legal requirements to do so.
Photos
All youth participants are given a photo release form within their position description by signing this they give us permission to take their photo at Girls Rock Aotearoa programmes for use in reports, social media or marketing.
Internet Use
A Special Note to Parents & Caregivers
Children 18 years of age or under visiting Girls Rock Aotearoa’s website should ask their parent’s or guardian’s permission before sending any personal information, such as names, home addresses or email addresses. We recommend that parents use software or other tools by which they can assure that their children’s use of the internet reflects their preferences, requirements and the law.

Girls Rock Aotearoa’s Privacy Officer will not disclose information about children to family/whānau unless there is a clear legal right to access that information.
